Position summary
The Non-Profit Events and Administrative Assistant will support Foundation staff with the planning and execution of a major community fundraising event .The role will focus on assisting with event planning, volunteer management, participant and vendor communications, and general office support to help the Foundation deliver successful fundraising outcomes in support of local healthcare.
Tasks and responsibilities
- Assist with the planning and execution of a large non-profit fundraising event, including preparation before the event and support on event day
- Support volunteer management, including recruitment, scheduling, confirmation, and day-of coordination
- Communicate with volunteers, participants, and vendors by email and phone, providing information, instructions, and follow up
- Maintain, update, and clean up contact and event information in the Foundation’s databases, including accurate data entry and basic reporting
- Assist with vendor coordination, including confirming bookings, collecting required information
- Help organize event logistics such as check-in materials, signage lists, supply lists, volunteer position requirements and post-event wrap up
- Provide general administrative support to the office, including answering phones, filing, photocopying, preparing mailings
- Assist with post-event activities such as thank you emails or letters, organizing photos, and summarizing basic event and volunteer statistics
- Represent the Foundation in a professional and courteous manner in all interactions with community members, donors, volunteers, and partners
Preferred level of education of the participant
- Post-secondary student currently enrolled in, or recently completing, a diploma or degree program in a related field such as:
- Event management or hospitality
- Business, marketing, communications, or public relations
- Office administration
- Nonprofit management, social sciences, or a related discipline
Preferred skills and attributes
- Strong organizational skills and attention to detail
- Comfortable communicating by phone, email, and in person
- Basic computer skills, including Microsoft Office and willingness to learn database or event software
- Ability to work collaboratively as part of a small team and manage multiple tasks with guidance
- Willingness to occasionally work early mornings, evenings, or a weekend day around key event activities (with notice and within weekly hour limits)
- An interest in community events, fundraising, or healthcare is considered an asset
